OVH Committee Meeting Minutes- 18th September 2025

Attendees: Celia Holt, Jessamy Saltmarsh, Emma Hunter, Roderick Duncan, Chris Ingham and Michelle Parsons
Apologies: John Gale, Mary Burr.

Matters Arising from the previous meetings: The two previous meetings were discussed briefly. These had been held on 25th June to discuss the Summer Fete and on August 7th to agree next year’s budget. As the latter had been very poorly attended Jessamy went through the details of the bank statements again. All bank account details
had been sent out from Jessamy by email. It had been a good year, financially, which has enabled us to transfer £12,500 to the new build project. Celia is now authorising the bank payments whilst Chris approves them, as before.

1. Committee Members: Michelle was welcomed to the meeting and will be co-opted on to the committee in November at the AGM. She is happy to take minutes of our meetings in the future.

2.Cricket: Roderick reported that 5 games had been played during the summer. On 23 rd Sept the cricket square will be refurbished and grants were being sourced for the club. They would like to consider a ground share with another team and also consider indoor nets, if this is possible, in the hall. The boundary
near Celia’s garden fence may need some discussion with the cricketers in the future.

3. Finance: All papers had been sent out and approved.

4. Lettings: There is an increase this year. The Church Harvest Lunch will take place on October 4th and a first aid course is arranged, also in October. Lou would like to start another weekly yoga class on Mondays. She held an impromptu evening yoga session in September which was well attended.

5. Health & Safety /Playground: The Annual Play-park Inspection took place in July. All is well but the small swings need monitoring.
Another new bin has been ordered and paid for by the PC. Chris is waiting for a reply from West Suffolk for a quote to install the spinning pole. She is applying to Mike Chester for a grant towards the cost. The car park fence is still not mended (awaiting Tom) and there is a hole in the tarmac.

6. Café Stop/ Lottery dates: It was decided to extend the café into October as we have had a very successful openings during the
summer. The lottery draw is arranged for 2nd October at the pub at 12 pm. Everyone invited to help.

7. Future Events:

  • Christmas Chocolate Bingo was suggested for Saturday 6th December. This will be similar to the last one but with a Christmas theme. The hall will need decorating.
  • Possible March event Friday 7th to be organised by Michelle “Paint and Prossecco”. Tickets to be sold in advance.
  • A Dog Show in April of May will be arranged with Tracy. Jessamy to follow this up.
  • A Farm Walk from Ousden to Lidgate has been suggested for May 16th /23 rd . Graham, the farm manager will take us around the fields ending up back in Ousden for refreshments? To be confirmed.
  • Sports Day and Summer Fete-July 4th ? Roderick has plenty of ideas for games, etc.

AOB

  • Jessamy explained about the West Suffolk refuse bins survey. We will need to give this some thought
as extra bins will be necessary for the hall. Concern was shown about the income from our own
bottle bank as we will need to inform villagers to continue supporting us. Chris questioned the cost
    which is unknown as yet.
  • Ousden Newsletter will be ready to go out shortly. Chris and Celia to liaise with Nicky.
  • Michelle has produced a new poster and this can go on the website. It needs to be laminated to go outside the hall. Mike Hole?

Date of next meetings:

  • Working Party -Tuesday, September 23rd at 6 pm
  • Committee -Thursday, 23 rd October at 6 pm
  • AGM – Tuesday, November 11th at 7 pm followed by an ordinary meeting. Is there a PC meeting that evening, John?
